Question:
Does ExpressMaintenance notify you when services are due or request
arrive?
Answer:
ExpressMaintenance offers a flashing message and optional audible sound to notify users when
maintenance items are due or new requests arrive. In the main status bar located at the
bottom of the screen is a box that reads "Services" and one
that reads "Requests". These boxes
flash when services are due or new requests arrive. Starting with
version 7.1.4.6 there is also the option of having an audible alarm (see
below). ExpressMaintenance automatically
performs a query to determine if any services are due and notifies the
user by causing the "Services" box to flash. It does the
same for Requests.
These services can be activated on a
user login basis under Administration / User Accounts. You can
designate what users will see the Services notification and what users
will not.
In addition,
you can define the number of days out that ExpressMaintenance should
search. This is setup under Administration / Defaults / Work Order
Defaults / General Settings / Notification Checking Frequency (see screen
shot below).
You can also turn the
entire feature off under Administration / Defaults / Work Order Defaults
/ General Settings / Notification Checking Frequency (see screen shot
below).
Audible Alarms
Beginning with version
7.1.4.6, you can also have ExpressMaintenance sound an audible alarm in
conjunction with the flashing notification. To activate this
feature simply place the desired wav file in the folder where
Maintenance.exe resides. To have an alarm sound on services due,
place the desired wav file in the folder and name it ServiceAlarm.wav.
To have an alarm sound on new requests, place the desired wav file in
the folder and name it RequestAlarm.wav. When ExpressMaintenance
first opens, it automatically looks for these files and if they exist, the sounds will
be played when notification checking takes place as outlined above.
You can download tons of free
wav files from the following link:

If you would like, you can
download the following 2 wav files. These are buzzer sounds that
are a little annoying. You may wish to download something more
unique or easy on the ears.
ServiceAlarm.wav
RequestAlarm.wav
Email Notifications
You can also have
ExpressMaintenance email certain users when new requests are submitted.
To setup this option in ExpressMaintenance, go to Administration /
Defaults / Email Settings & Defaults. Additional email information
may be found in the tech bulletin on
Email Setup.
See the application help file topic
Administration / User Accounts for more details.
