Update 5.5.1.28

    • Auto filter on any field within the queried tables without the field being in the query.

    • Export reports to virtually any format including pdf, html, jpg, doc, xls, etc.

    • Improved layout / design screen with easy band management.

    • Many additional design components including calc fields, rich text, check box, etc.

    • Built-In support for full barcode printing on any data field.

    • All new and redesigned reports.  Ninety five (95) of them to be exact.  Each one developed with the new report builder and ready for use.  You will love the layout and enjoy tweaking them for your organizational needs.

    • Any existing standard reports will be overwritten.  Custom reports will need to be redesigned using the new Report Builder.

     

  • General Interface Changes - We're always looking for ways to make our software more enjoyable to use.  That's right, Enjoyable.   This release adds many bells and whistles sure to be appreciated.

     

    • Memo fields with full rich text editing allowing for fonts and text formatting tools.

    • Memo fields now include full support for embedded graphics and pictures.

    • Memo fields now include spell checking and thesaurus buttons and features.

    • All applicable numeric fields extended to allow up to 5 digits past the decimal.

    • All data grids now support the quick sort feature by clicking on any column heading.

    • All grids now support the grid properties button that allows you to size, title and arrange columns to meet your needs.

    • Updated and improved Help system available Html and Acrobat formats.

 

  • Administration - Several changes and improvements in the Administration help make the rest of the program run smoothly.  You will want to know about them and set them as desired.

     

    • Backup / Restore - Improved interface and error checking.

    • Backup / Restore - Now leaves the .bak and .zip file for user to have option of type of file to save to media.

    • Codes - New code types for Work Groups, Employee Actions  and Types - Parts.

    • Defaults - New fields for auto adding a part / service item in work orders for shop supplies, or any other standard charges, etc.

    • Employees - The table name has been changed from Mechanics to Employees.

    • Employees - New Employee Action table for tracking unlimited dates and notes per employee.  Very flexible feature for employee management.

    • Employees - Notes field has been deleted and any existing notes have been inserted into new Action table.

    • Employees - Expanded email address field to 250 characters.

    • Employees - Added new Work Group field for setup / selection per employee.  This is in addition to the existing shift and skills fields.

    • Services - Now includes a checkbox to indicate that the service be placed on a separate work order when creating work orders from the service overview screen..

    • Services - Now includes new feature to sort records on any field by clicking on the column title button.

    • Services - New field to select the default Work Group or shift for that service.

    • User Accounts  - Setup screen now includes a field to define the site limitation for parts in addition to other areas of the system.

    • User Accounts - Includes check boxes to set permission access to parts inventory & new re-ordering screen.

    • User Accounts  - Includes a new overview screen to view user accounts in grid form for selection / search.

 

  • Maintenance Management - Nobody does it like we do.  This new release makes sure the competition never catches up.  With you in mind, maintenance management just gets more powerful and easy to use.

     

    • Units / General - New Email List field to email multiple parties when a work order is issued on a unit.

    • Units / General  - New Overview tab for quick view of units and selection by Type.

    • Units / Services - New (SeparateWO) fields allows you to indicate that  when work orders are automatically created, the service should be on a work order by itself.

    • Units / Services - New field to select the default Work Group or shift for the service.

    • Units / Services - New option to add unlimited parts to a service which will automatically be added to work order and associated with the service..

    • Units / Services - Apply Standard Services now creates services even when the service is duplicated allowing for "whichever comes first" PMs.

    • Service Overview - If service indicates that it requires a separate work order, program now places that service on a separate work order.

    • Service Overview - Added the ability for users to make last minute edits to the Work Group, Employee and other fields before creating work orders.

    • Service Overview - Work order creation now includes the parts associated with a service.  Users can view / edit before having them automatically added to WO.

    • Work Orders - New features and calculations for auto adding a part or service for shop supplies or other standard charge to be applied on selected work orders.

    • Work Orders - Emailed work orders now output to the format of your choice including world standard Adobe Acrobat .pdf files.

    • Work Orders - Emailed work order will now email to a preset list of employees, contacts and companies.  You define the list in Units, Employees and Companies.

    • Work Orders - Added ability to instantly create a purchase order by right clicking on the part record.

    • Work Orders - Added ability to jump to part record by right click menu.

    • Work Orders - Added ability to jump to a Unit record and different tabs by right clicking in the Unit field for popup menu.

    • Work Orders - New field to select the default Work Group or shift for the work order.

    • Work Orders - Added the ability to search on range of dates along with other fields at the same time.

     

  • Maintenance Requesting - ExpressRequest is perhaps the most appreciated little application to hit the maintenance world.  It is simple and small, yet so valuable.  We had  to look hard to find ways to improve on it.  But we did.

     

    • Requests - Implements new report builder with many added features and powerful capabilities (see above).

    • Requests - All memo fields now implement right click editor with full rich text editing capabilities including formatting and graphics.

    • Requests - All memo fields now implement right click editor which includes spell check and thesaurus abilities.

    • Requests - Cost Center field now included and auto populates when service is selected if applicable.

 

  • Parts Inventory - No area of ExpressMaintenance was overlooked.  We looked for every possible improvement we could make in every aspect, including Parts.

     

    • Parts Items - New Type field with types setup in Administration / Codes.

    • Parts Items - Number, Vendor Number and Mfg Number fields extended to allow 50 characters long.

    • Parts / Overview - Added breakdown and selection by new Type field.

    • Transfers - New tab screen for transferring parts inventory from one site / location or one part to another.

    • Inventory Analysis - Substantially improved performance of processing inventory calculations and updating.  Expanded to include PO activity.

    • Inventory Analysis - Now includes fields representing the calculations of  transfers in and out and scheduled work orders.

    • Re-Ordering - New screen to view parts that need ordering, print list and easily create purchase orders in addition to existing re-order report.

    • Receiving - Now have the choice of marking PO as closed or not based on summary info displayed.

    • Receiving - New button to display summary info on Purchase Order number.

     

  • Purchase Orders - We made improvements in Purchase order as well.  Give us more suggestions and we will implement them.

     

    • Transactions - New "ShipTo" field for company & addresses based on lookup in customer records.

    • Transactions - Emailed purchase orders now output to the format of your choice including Adobe Acrobat .pdf.

    • Transactions  - Added the ability to search on range of dates along with other fields at the same time.

     

  • Fixes & Adjustments - These are misc. things that just had to be done.  We are embarrassed that we didn't catch them before but they are fixed now.

     

    • Registration - Improved registration screen explains registration process more clearly.

    • General - Corrected problem of alternating grid color changing to black if system fails to connect to server.  Blank settings were being saved.

    • Administration - Adjusted Backup / Restore to deal with file names containing spaces and problem of uncompressing files in different folder based on last system selection.

    • Work Orders Overview - Now includes the unit number field for viewing in the overview grid.

    • Parts / Parts Items - Adjusted program to properly handle replacement part selection, which was returning error.

    • Purchase Orders - When receiving parts, the PO was closed but the closing date was not saved to the PO.  This has been corrected.

Enhancements in Release 5.4.6.11
  • General - Adjusted to remove logo display before viewing service overview and other screens.

  • General - Adjusted more grids to display a portion of notes rather than memo indicator.

  • Administration / Employees - Adjusted screen to recognize the format State field settings under Defaults.

  • Administration / Companies - Adjusted screen to recognize the format State field settings under Defaults.

  • Parts / Parts Inventory - Adjusted screen to not allow entry of a source or picture until main insert is complete.

  • Maintenance / Work Orders - Adjusted to not auto populate service performed date to system date if completed date is blank.  User must now specify a completed date or performed date in order to have record written to service history.

  • Purchase Orders / Transactions / Find - Now allows for search by range of ordered dates.

  • Maintenance / Units / Duplicating - Adjusted to set service status to nomal when copying from other records.

  • Maintenance / Service Overview - Adjusted to sort by unit name and then unit number.

  • Requests - Now allows for edit of the requestor name for multiple using the same computer.

  • General - Program now remembers last window state, position and size and returns to those settings when executed.

  • General - All grids now use alternating row colors. Under Utilities / Set Application Properties users can turn off or set the color.

  • Utilities / Set Application Properties - Each user can now set alternating row colors in grids.

  • Administration / Companies - Added new Critical Supplier field checkbox to screen & data table.

  • Administration / Defaults / Email Settings - New section for defining the email settings for sending work orders and purchase orders.

  • Administration / Defaults / Work Order Defaults - New field for Default days back for service overview and flash notification allows you to set the number of days preceding current date for auto search. The previous default was 30 days and you had to manually change. Now, you can set the default and can still manually search on any date range.

  • Administration / Defaults / Work Order Defaults - New field for WO Tax Rate allows for different rate from Purchase Orders and adjustable per work order.

  • Administration / Defaults / Work Order Defaults - New field to default if taxes should be charged on labor in work orders.

  • Administration / Defaults / Work Order Defaults - Two new fields to indicate a percentage for calculating other costs based on parts, labor or both.

  • Parts / Receiving - Corrected bug where program was not rounding in tax computation.

  • Maintenance / Units - Current count now uses a format with comma separations.

  • Maintenance / Units / Services (PMs) - New ItemSeq column allows you to assign a sequence to the services for the purpose of displaying and printing them. The services are now sorted by ScheduledDate and then ItemSeq. To use this field, you must turn the field on in Grid Properties and adjust any applicable reports to use and sort by the field.

  • Maintenance / Units / Duplicate Unit - Adjusted to create and utilize the ItemSeq field when creating units / services.

  • Maintenance / Units / Downtime - Now allows for right-click jump to work order record.

  • Maintenance / Work Orders - New ItemSeq field available in services and parts sections to allow users to arrange items in desired sequence. Users may wish to adjust reports to take advantage of this field.

  • Maintenance / Work Orders / Printing - Corrected problem where city state and zip do not print correctly if you do not preview report first.

  • Maintenance / Work Orders - Now allows you to override the tax rate on a per work order basis, 0 does not calc tax.

  • Maintenance / Work Orders - Now allows users to calc taxes on the labor portion of work order if you check tax box.

  • Maintenance / Work Orders - Now auto calculates other costs based on parts and labor percentage as setup in Administration / Defaults / Work Order Defaults.

  • Maintenance / Work Orders - Adjusted to auto insert labor rate if employee is assigned to work order.

  • Maintenance / Work Orders - New option to email work order to assigned employee found under print button. You must setup email settings under Administration / Defaults.

  • Maintenance / Units - Fields using codes now allow user to "<Manage Codes>" when viewing selection list.

  • Purchase Orders / Reports - New options to filter by Unit and Category.

  • Purchase Orders / Transactions - New option to email purchase order to vendor by clicking email button. You must setup email settings under Administration / Defaults.

  • Purchase Orders / Transactions - Corrected rounding error in item subtotal calculations.

 

ExpressRequest

  • Requests - Units selected are now save by number rather than name. This avoids problems associated with identically named units. When creating work orders, ExpressMaintenance might get the incorrect unit when using name.

  • Requests - ExpressMaintenance now logs the completion date in the requests when a work order is completed. Users can view the Completion Date field by adding it to the grid with the Grid Properties button in upper left corner of grid.

  • Requests - Units drop down selection list now includes additional information.

  • Requests - Grid now uses alternate row colors as defined by the user under Setup.

  • Setup - New option to define alternate row color for main grid.

 

Enhancements in Release 5.4.5.17
  • Utilities / Connection Properties - Added option to copy results to clipboard to assist tech support.

  • Maintenance / Units / Duplicating - Adjust to insure new services are created in order of the original.

  • Maintenance / Work Order Overview - Corrected initial display of the calendar to current date.

  • Maintenance / Service Overview - Corrected initial display of the calendar to reflect date selection.

  • Maintenance / Units - Adjusted program to automatically update past work orders when a unit name is changed.

  • General - Adjusted flash notification to use exact same search date range as the defaults for service overview screen.
  • Administration / Defaults - Adjusted work order defaults to indicate the date range out for searching PMs due is for service overview and for flash notification.
  • Maintenance / Work Orders - Adjusted to delete service item from history when the service item is deleted from work order.
  • Maintenance / Work Orders - The services grid now includes a performed date per service. Rescheduling is based on this date or the Completed date if the performed date has no value. You must use grid properties to set this field to display and be active.

Administration

  • Codes - New codes setup screen for maintaining picklist of codes for numerous general areas.

  • Codes - New codes screen now allows for creating picklists for Units user definable fields.

  • Codes - New codes screen now allows for creating picklists for shipping methods, employee positions, and several other fields that did not previous support selection lists.

Work Orders
